Welcome to the Youth Enrichment Program Instructor Online Orientation.
The safety of our participants is our primary responsibility as we administer the Youth Enrichment Program (or YEP). To help ensure that the YEP participants have a safe and enjoyable experience, Community Education requires all of our YEP instructors to complete this brief online orientation to provide updates on our youth program administration, classroom management best practices, as well as awareness of campus safety procedures.

The YEP intern for this summer is Kiah Wilson. Kiah is a Public Relations major at Illinois State University and will be starting the Graduate Program in Communications at ISU in Fall 2017.
YEP offerings for Summer 2016 have increased by 22% over the Summer 2014 offerings.
In Summer 2016, there were 357 sections offered and 296 sections held. Unduplicated enrollment included 365 girls and 450 boys.
For Summer 2017, we are offering an Early Registration Discount if students are registered by June 1. Be sure to have parents/guardians sign the Sign-in/Sign-out forms included in your first class packet. Continuing Education staff will check out students participating in the YEP lunch and escort those students to the lunch and after lunch.
Classroom management is crucial to a successful YEP class for both yourself and your students. The following contain some useful advice for a rewarding experience.
On Day One of your course, be sure to set clear expectations for parents/guardians and for students. Send a welcome note home to parents on the first day of class detailing who you are with your in-class contact information and your planned curriculum for the week. Invite parents to share insights into their students' unique needs and sign and return the note to you on the second day of class.
Additionally, on day one of class, establish the classroom atmosphere. Arrive early and setup your class so you are free to greet each student upon arrival. Establish ground rules for the class early. Start the day with an agenda for the day's class and end the day with a preview of the next day's class.
Be sure to plan proactively. Use both written and spoken instructions when teaching children to ensure understanding. Have students repeat the instructions back to you and have students clarify the instructions with their partner. Repeat instructions after breaks and during transitions.
Remember students tend to have a difficult time sitting for long periods. Allow students to stand up, stretch out and take breaks. Learners tend to remain attentive for 15 minute (or shorter) intervals.
If a student tests your authority or acts out in class, respond appropriately. Try standing next to the student while continuing to teach. If that does not resolve the issue, pull the student aside during an appropriate break for a private conversation. Establish additional consequences for defiant or disruptive behaviors, which could include removing the student from an activity, having a student call their parents to explain their behavior, or reporting the behavior to the appropriate Continuing Education staff.
Please arrive 30 minutes early on the first day of class. The remaining days you should arrive between 15-30 minutes prior to the start of class. Parents will be checking in and out their children prior to and after each course.
The following slides contain information about documents included in the first class packet. The Welcome Letter summarizes YEP class administration details, including our Check-In & Check-out policy and a summary of them items included in your first class packet.
The First Class Packet Checklist includes important steps for you to follow during class and at the last class meeting. This checklist also includes important contact numbers and the login user name and password for Continuing Education computers at Heartland Community College.
Use Check-in & Check-Out sheets to ensure the safety of the children on campus. All parents or guardians must check their child in and out of your classroom each day. Students enrolled in the YEP Supervised Lunch will checked out of class by Continuing Education staff and escort him or her to the next classroom. The class roster will indicate YEP Lunch participants.
Parents or guardians provide the information on the Emergency Contact Information & Photo Release Summary during registration. During check-in on the first day of class, please make sure you have accurate emergency contact information for each student in class. If information is missing, please have the parent or guardian complete the Emergency Information Form during check-in on the first day.
Please mark student attendance for each day on the Class Roster. At the end of the class, please sign and return the class roster to Continuing Education with your class packet.
The YEP Instructor Emergency Instructions contain important campus safety procedures that you should be familiar with during your class. Familiarize yourself with these guidelines to ensure safety in the event of an emergency.
We have created a formal YEP Behavior Policy as well as a specific communication action plan for instructors, Continuing Education staff and parents. The Behavior Report Form serves to document inappropriate behavior and the communication action plan. Please contact your Program Coordinator if you have any questions regarding the YEP Behavior Policy.
Be sure to document incidents of behavioral problems that rise to the level of classroom disruption. Contact the Continuing Education office for assistance from a Program Coordinator.
If your class is meeting in a computer lab, you will receive copies of the "8 Simple Rules for Computer Use at HCC". Please distribute and review the rules with the students.
Your first class packet contains reusable lanyard-style nametags. You may want to collect the nametags at the end of each class period so students do not forget them at home the next day. After your last class, please return the nametags and markers to the Continuing Education office in your class packet envelop.
We will be using Class Climate course evaluation forms for parents and children.
Unless you have a one-day camp, distribute parent evaluations a couple of days before the end of the class and remind students to turn them in on the final day of class.
Please encourage children and parents to provide feedback on the open text questions. Note that it is important to keep the written responses within the box for each question.
Upon the completion of the class, return the following items in a large white envelope to the Continuing Education offices:
Completed and signed rosters,
Completed parent and child evaluation form,
Completed check-in & check-out sheets,
Emergency contact information summaries, nametags, markers and any unused forms.

Sign up for text alerts to receive notification of emergencies or campus closures due to inclement weather by sending the text "hccalerts" to 292929.
The Annual Security Policy report linked on screen will provide you with information about the College's policies, procedures, and programs concerning campus safety and security. Please review the Annual Security Policy.
As a Heartland Community College instructor, you are required to complete the online Mandated Reporter Training available from the Illinois Department of Children and Family Services. Upon completion, you will submit this certificate of completion to the Continuing Education department.
